Overview:

The Executive Assistant for the Department of Promotion of the Southwest Seminary is responsible for assisting the department team and others who work with them in achieving the seminar’s fundraising and goals each year.

This position requires a tech-savvy, detail-loving team player with experience in the office environment, who lives from specific goals and promises success. This team player will support the full range of fundraising efforts carried out by the institutional advancement team. A strong candidate is interested in building a career in fundraising and has 2-3 years of experience in a fast-paced collegiate workplace, preferably a nonprofit and / or college education; ideally in development.

The place of work is on-site on the Seminary of the Southwest campus in Central Austin but may be flexible with some remote work options if possible and mutually agreed in advance. Free parking is available and Southwest is on a bus route near the University of Texas. Essential functions & responsibilities:

  • Support the VP for Institutional Development
    • Coordinate donor visits with the Chief of Staff of the Dean’s Office and the Presidium
    • Assist the vice president with fundraising and agenda-related tasks
    • Other duties assigned by the VP of Institutional Advancement
  • Work as a key member of the IA team and maintain a presence for the office when team members are unavailable
  • Assistance with all fundraising efforts, including but not limited to print mailings, event preparation and execution, written gift receipts, database information updates, and expense reports
  • Excellent communication with donors, board members and other staff
  • Working closely with fellow IA staff, facilitating donor interactions, travel arrangements, meetings and follow-up including:
    • Exceptional telephone etiquette
    • Save appointments with donors, confirm appointments
    • Reserve restaurants / meeting rooms
    • Coordination of preparation and follow-up materials for all visitors and visits (PR packages)
    • Record activities and results in the Raiser’s Edge database (CRM)
  • Coordinating the tasks of the dual students for the department
  • Other relevant professional tasks as assigned

requirements

  • Bachelor’s degree or an equivalent combination of training and work experience
  • At least one to three years of professional experience
  • Excellent oral and written communication skills; exceptional interpersonal skills
  • Excellent attention to detail, organizational and project management skills
  • Ability to multitask and interpret priorities
  • Ability to work both independently and in a team
  • Ability to react sensitively and consciously to people with different cultural, ethnic, social backgrounds, values, attitudes and languages
  • Ability to professionally represent institutional further development

Preferred qualifications

  • Experience in community service and / or community fundraising experience
  • Technical fluency with the Raiser’s Edge database
  • Technical fluency in G-Suite, Constant Contact and InDesign
  • Knowledge, understanding and appreciation of the Episcopal Church
